ECM is used to change various fronts of production basic data (BOMs, task lists, materials, and documents ) with history (with date effectivity) or depending on specific conditions (with parameter effectivity).

Version management 

In the SAP system, we can make changes to objects both with and without history.
  • Changes without history: When we change and save data, the old data is overwritten. We can only recall the data that saved last. 
  • Changes with history: Document changes with Engineering Change Management. In the case of specific change objects (such as a material, document, or bill of material), Engineering Change Management can be used separately for each object. 

How to use versions for a material master or a document? 

Steps
  1. Create a change object and assign it to a material or document(transaction code CC01);
  2. Add changes under the change object (immediately or by scheduling);
  3. Add a revision level (CC11) if necessary to a change object/application object;
  4. The status profile can be added.
  5. The changes of material will be available in the log with the link to a change number.
  6. The fields document type and document version (without DMS) can be used as supplement fields.

Usage of Revision Level for PP Masters -BOM and Routing

In a public sector client, there was requirement to map the drawing number and its alteration index in SAP PP process. Design department who owns the ownership for product designs creates design drawing and sends to planning department with some alteration index like ‘a’ or ‘A’ etc. Planning department identifies, defines structure, executes product manuafcturing based on the drawing and its aleration index. Even the quality department tracks the inspection with respective to drawing number and its alternation index. Another challenge is there will be changes for the intial design where in the alteration index will be changed from ‘a’ to ‘b’ or ‘b’ to ‘c’ etc. This change can happen during planning or while executing the production.Finally at the end of the day, report is required to see the history of changes.

Customizing
  • ECM Control Data ( OS54): Activate functionality
  • Change Master Number Ranges (OS53)
  • Define Revision Levels (OS55) – Revision levels defined as required
  • Define Modification Parameters for BOM (OS27)
  • Set the profile for PP
  • OP5A: PP task lists: initial screen -> Change number -> Transaction code -> Tick Req
Steps followed for creating and changing the master data:
  • Create change number(CC01)
    •  Select the profile created PP000001 
  • Assign change number to Material (CC11) with initial revision level
  • Create BOM (CS01) and Routing (CA01) with revision level
    • In order to make the Revision level field a mandatorily used transaction variant for CS01/CS02.
  • Create a new change number with a different validity date (CC01) and assign it to material with a new revision level (CC11)
  • Display revision levels (CC12)
  • Change BOM(CS02) and Routing with new revision level (CA02)
Difference between revision level A and B. When we go to tcode CS14 BOM comparision then difference between the revision levels is displayed as given below.

1644902 - Material Revision Level at Plant level

The revision is only maintained in the table MARA (MARA-KZREV), this is at client level and is not plant dependent.

1959069 - Revision level is not defaulted from material master when creating Purchase Order

When creating a Purchase Order with reference with a Purchase Requistion, the system takes the revision level from the Purchase Requistion, without checking the revision level in the material master.

96923 - Revision levels for external procurement

Revision levels for external procurement in planned orders and purchase requisitions:
  • If the engineering change management is active for a material procured externally and different revision levels are maintained for the material, materials requirements planning determines the revision levels of the material valid for the order start date of the planned order or for the release date of the purchase requisition when you create and change planned orders and purchase requisitions.

159190 - Revision level in planned order/production order

The revision level is transferred to the planned order by the MRP run in any case.
